DB001: Membership Base
The DB001 report displays an overview of clients with active memberships. Details include the membership, member since, additional membership statuses (Frozen, In Cancellation) and EFT statuses (Suspended, Error), and much more.
Note: This report considers both counting and non-counting memberships.
Report definitions
- Active: The number of clients with active memberships; these memberships do not have any other statuses assigned to them.
- Frozen: The number of clients with frozen memberships.
- In Cancellation: The number of clients whose memberships are in cancellation, but not yet terminated.
- Suspended: The number of clients whose memberships are marked as suspended.
- Total: The total number of clients with that membership.
The fields below assume the Client Name sort order, but all of the following definitions apply to the report output, regardless of which sort order you selected.
- Client: The name of the client who owns the membership.
- Membership Name: The membership name according to the membership's definition.
- Member Since: The date the membership became active for the client.
- Member for X Months: The number of months the membership has been active for the client.
- Status: The membership's current status:
- Active: The number of clients with active memberships; these memberships do not have any other statuses assigned to them.
- Frozen: The number of clients with frozen memberships.
- In Cancellation: The number of clients whose memberships are in cancellation, but not yet terminated.
- Suspended: The number of clients whose memberships are marked as suspended.
- Susp. / Frozen Since: If membership is suspended or frozen, this is the suspension or freeze start date.
- Payment Info: Displays primary and secondary payment methods. Only the last 4 digits of the credit card number (for CC) or checking account (for ACH) will be displayed.
- Payment Day of Month: The payment day of the month for this membership, taken directly from details in Membership Manager.
- Next EFT Payment Amount: For recurring memberships, this field displays the amount of the next scheduled EFT.
- Mem. Exp Date: Date the membership is set to expire. An asterisk indicates that the membership is set to Auto-Renew, and that should be considered when reviewing the data. For example, a membership set to Monthly Auto-Renew will show an expiration date of next month. However, that is unlikely to be the actual expiration date, as next month's EFT will push out the expiration another month, and so on.
- Last Visit: The date of the last appointment at the current location, not counting the current day.
- Next Appt. Date: The date of the client's next appointment.
- Mem. PKG Services Available: The number of membership-accrued package services available for redemption. This includes transferred packages, packages from other memberships, and expired packages that have been marked as available for use.
- Mem. PKG Services Value: Total value of all package services that remain on the client account. Expired packages do not count unless they were marked as available for use.
Setting up the DB001 report
- Type DB001 in the Convobar, or go to Meevo > Reports > Memberships, and then select the DB001 report.
- In Run Report in, select a mode:
- Summary Mode: Displays memberships and the total number of client memberships that are in each status.
- Detail Mode: Displays memberships, the clients who own the memberships, and a plethora of additional information related to the membership, such as the payment day of month, last and next visit, and more.
- In Sort Report by, select a sorting option for Detail Mode only:
- Client Name: Sorts by the client first or last name, depending on the client sort order option in Business Information.
- Payment Day of Month: Sorts by the payment day of month in ascending order.
- Membership Status: Groups memberships by status.
- Membership Name: Sorts by the membership name in alphabetical order.
- Display Phone Numbers (for Detail Mode only): When this is selected, the report will include client phone numbers if applicable.
Running the report
- When you are ready to generate the report, select a Report Format beside the Run Report button.
- Here is a rundown of each format type:
- PDF: Each time you select Run Report with PDF selected, Meevo opens a separate browser tab that displays the PDF'ed report. Meevo remains on the setup page, so you can quickly jump back over to Meevo to run more date ranges or other reports. Each PDF report you run will open its own browser tab, so you can easily review and compare reports by simply jumping between browser tabs.
Note for viewing on iOS: If viewing a PDF on a mobile device running iOS, swipe from left to right on the screen to return to Meevo. - HTML: This is our original legacy format, which opens the report within Meevo. All of the functionality within that report is still there and available via the toolbar.
- XLSX: Each time you select Run Report, your browser auto-downloads the report in .xlsx format. Select the downloaded file in the browser footer to open the spreadsheet.
- PDF: Each time you select Run Report with PDF selected, Meevo opens a separate browser tab that displays the PDF'ed report. Meevo remains on the setup page, so you can quickly jump back over to Meevo to run more date ranges or other reports. Each PDF report you run will open its own browser tab, so you can easily review and compare reports by simply jumping between browser tabs.
- Select Run Report to generate the report in your chosen format. Depending on the type of report and criteria you entered, this process may take a few minutes.
