Editing a Member's Recurring or Renewal Fee

A current member's Recurring Fee and/or Renewal Fee can be changed in Membership Manager, but before making any changes, be sure to review the following: 

  • The ability to edit those fees in Membership Manager is controlled by two separate security keys, one for each fee.
  • A fee cannot be lower than the Minimum set in the membership definition, nor can it be higher than the actual fee that was set in the membership definition.
  • Price changes only impact future EFTs that have not yet been attempted.
  • Price changes are recorded in the client's membership history and include both the original rate and the new rate.
  • Updating the Renewal Fee in Membership Manager creates a manual override on the Renewal Fee field. Memberships whose Renewal Fee was manually adjusted in the register at time of sale, manually adjusted in Membership Manager post-sale (as described in this topic), or grandfathered in via Market Pricing will not inherit changes to the membership definition's Renewal Fee.
  • You can also bulk update a membership's Renewal Fee by changing the Renewal Fee on a membership definition, but be sure to review this topic for details as there are conditions that can exclude some memberships from being updated.

Note: Though you can edit a Renewal or Recurring Fee, remember that an associated package's price is stamped on the membership at the time of sale. 

To edit a fee:

  1. First, ensure that the user or employee who will be making the change has appropriate permission to the following keys under Membership Manager > Payments: Edit Recurring Fee and Edit Renewal Fee.
    1. Grant: The fee field is editable.
    2. Deny: Selecting the fee field brings up the security elevation window.
    3. Hide: Fee fields are read-only and cannot be edited.
  2. Locate in Membership Manager the client whose fee(s) you wish to change.
  3. Select the Payments tab and observe the "fees" row. Assuming the user has appropriate permissions, the Recurring Fee and/or Renewal Fee fields will be editable.

  1. Select in the field to make the change. Remember, the fees cannot go lower than the Minimum set in the membership definition, nor can it go higher than the actual fee that was set in the membership definition.
  2. Selecting a fee field reveals the Save and Cancel buttons at the bottom of the form.
  3. When finished, select Save.
