AQ000: Appointments Booked
The AQ000 report shows appointments booked within the date range, sorted by who booked the appointment or who the appointment was created for.
What is the difference between a "visit" and a "unique client?"
This report follows our usual standard for what constitutes a visit: a visit occurs when a client is rung up for at least one service on a transaction. It is not necessary for the service to have been booked before it was rung up.
A unique client is just an individual who only counts once towards the Unique client metric, regardless of how many visits they have. So if Matt visits a location 4 times in the date range, he will count as 1 unique client and 4 visits.
How are New Clients determined in this report?
The AQ000 offers flexibility in how you define a New Client. You can decide in report setup whether a client should be new to the employee or new to the business. Let's say a client comes into the business for the first time ever and receives a blowout. That same client comes in a week later and sees a different employee for a haircut. When the report is set to Business, this client will count as 1 New and 1 Repeat. When set to Employee, this client will count as 1 New because this metric looks at "unique" clients. A client can only count as New or Repeat ONCE in a given date range. If a client is both New and Repeat during the date range, the report will classify them as New.
Which reports display rebooking metrics?
The following reports include rebooking metrics:
- AQ000: Appointments Booked (this report displays same-day rebooks only and does not include retroactive rebooks)
- AQ150: Rebooking Analysis
- AQ150B: Rebooking Analysis Detail
- MA200: Growth Indicators Analysis
How are "rebooks" determined in this report?
The AQ000 reports on all rebooks (same-day rebooks and retroactive rebooks). For details on how rebooks are determined in Meevo, be sure to review the Meevo rebook rules topic.
Report definitions
- Booked By/For: This will be Booked By or Booked For depending on what is selected in Sort Report By.
- New Clients: The number of unique new clients according to the Client Visits Defined As option in report setup.
- Repeat Clients: The number of unique repeat clients according to the Client Visits Defined As option in report setup.
- Total Clients: (New Clients + Repeat Clients)
- Services Booked: The total number of main services booked, not including add-ons.
- Services Rebooked: Of all services booked, this is the number that are considered rebooked based on Meevo rebook rules.
- Add-Ons Booked: The number of add-ons that were booked.
- N/R: Indicates if the client is New (N) or Repeat (R) according to the Client Visits Defined As option in report setup.
- Client: Name of the client attending the appointment.
- Appt. Date/Time: Date and time of appointment. Appointment Date appears only if the date range is set to The date the service was created on.
- Service Booked: The service that was booked for the client.
- Booked For: The employee who was booked to service the client. Appears if the sort option is set to Who the appointment was created by.
- Created On: The date the appointment service was booked. Appears if the date range is set to The date the service was booked for.
- Booked By: The employee or user who booked the service. Appears if the sort option is set to Who the appointment was booked for.
- Requested Service: If checked, the Requested checkbox was selected in the Appointment Editor for this appointment. Appears if the sort report by option is set to Who the appointment was booked for.
- Rebook: If checked, the appointment is considered a rebook based on Meevo rebook rules.
- Price: The default price of the booked service.
Setting up the AQ000 report
- Type AQ000 in the Convobar, or go to Meevo > Reports > Appointments, and then select the AQ000 report.
- Select a date or date range for running the report:
- To run a report for a specific date range, select Custom and specify the Start Date and End Date for the report.
- Otherwise, select a predefined date or range (Yesterday, This Week, Last Week, etc.).
Note: If you select a predefined range (a date other than Custom), you can still change the Start Date and End Date. Doing so automatically changes the date range to Custom.
- Start Time and End Time: Determines the time frame of each day in the date range.
- Run Report In: Select Summary Mode to view high-level New and Repeat Client statistics, or select Detail Mode to view specifics like client name, the booked service/add-on, whether it was requested and/or rebooked, and more.
- The date range of the report is based on: This setting determines which services appear in the report. The report looks at the date the service was created or the date the service was booked to be performed.
- Sort Report By:
- Who the appointment was created by: Displays data by employees who booked the appointment.
- Who the appointment was booked for: Displays data by employees who had a service booked, either by the servicing employee or another employee.
- Client Visits Defined as New/Repeat to: Determines how clients are considered "new" or "repeat" in this report.
- Business: To be considered New, a client DID NOT have a visit to the location prior to the visit in the date range. To be considered Repeat, the client DID have a visit prior to the location in the date range, or a first visit in the date range and then another visit on a different day in the date range.
- Employee: To be considered New, a client DID NOT have a visit with the servicing employee prior to the visit in the date range. To be considered Repeat, the client DID have a visit with the servicing employee, either prior to the visit in the date range or on a different day in the date range.
- Show client phone numbers (Detail Mode only): Includes client phone numbers in the report, pulled from the client's profile.
- Page break on employee (Detail Mode only): Each employee begins on a new page of the report. If not selected, each day begins on a new page of the report.
- All Employees: Enable this checkbox to run the report for all active employees within the date range, including data from terminated employees. This looks at any user who has Is Employee enabled on their profile. To run the report for specific employees, deselect the checkbox and use the list to select employees or Employee Categories. You can show or hide terminated employees in this list. Note the All Employees "bubble" in the Employee list selects all employees in that list; it is not the equivalent of selecting the All Employees checkbox.
- All Users ("Who the appointment was created by" mode only): Enable this checkbox to run the report for all user activity within the date range. This setting allow you to capture appointments that were created by non-employees. To run the report for specific users, deselect the checkbox and use the list to select users. You can show or hide inactive users in this list. Note the All Users "bubble" in the Users list selects all users in that list; it is not the equivalent of selecting the All Users checkbox.
Running the report
- When you are ready to generate the report, select a Report Format beside the Run Report button.
- Here is a rundown of each format type:
- PDF: Each time you select Run Report with PDF selected, Meevo opens a separate browser tab that displays the PDF'ed report. Meevo remains on the setup page, so you can quickly jump back over to Meevo to run more date ranges or other reports. Each PDF report you run will open its own browser tab, so you can easily review and compare reports by simply jumping between browser tabs.
- HTML: This is our original legacy format, which opens the report within Meevo. All of the functionality within that report is still there and available via the toolbar.
- XLSX: Each time you select Run Report, your browser auto-downloads the report in .xlsx format. Select the downloaded file in the browser footer to open the spreadsheet.
- Select Run Report to generate the report in your chosen format. Depending on the type of report and criteria you entered, this process may take a few minutes.
